Everything you need to know
01What Is a Compensatory Leave Policy?
A compensatory leave policy, often called comp time, gives employees paid time off in exchange for extra hours worked beyond their normal schedule, such as during weekends, holidays, or urgent projects. It defines how comp time is earned, at what rate, and within what window it must be used. The policy provides a structured alternative or supplement to overtime pay for eligible situations.
02Why Companies Need a Compensatory Leave Policy
Comp time recognizes extra effort fairly and helps employees recover after demanding periods, supporting wellbeing and morale. A documented policy prevents disputes about how much time was earned and when it can be taken. Critically, it also keeps the company compliant, because wage laws strictly limit when private employers may substitute comp time for overtime pay, and a clear policy keeps those boundaries visible.
03What a Compensatory Leave Policy Should Include
Define who is eligible, keeping in mind legal limits for non-exempt employees, and specify how comp time is earned and at what rate. Explain how it is requested, approved, tracked, and the deadline for using it before it expires. Clarify whether unused comp time is paid out and how the policy interacts with overtime rules. Require manager approval before extra hours are worked to keep balances controlled.
