Effective Date:
Policy Owner:
Approved By:
Comp-Off Validity Period:

PURPOSE & SCOPE
- This policy establishes the framework for granting compensatory time off to employees who are required to work on designated rest days, public holidays, or beyond standard working hours. It ensures that additional work is recognised and offset with equivalent rest.
- The HR department shall administer and track all comp-off accruals and utilization through the Organization's leave management system. Managers are responsible for ensuring that approved comp-off is taken within the prescribed validity period.

ELIGIBILITY & ACCRUAL
- Comp-off shall be granted when an employee works a full day (minimum 4 hours) on a designated weekly rest day or public holiday with prior written approval from their manager. Half-day comp-off shall be granted for work of 4 hours or more but less than a full working day.
- Comp-off shall accrue at a rate of 1:1 for work performed on regular rest days and 1.5:1 for work performed on public holidays. The maximum comp-off balance an employee may accumulate at any time is 5 days.

UTILIZATION & SCHEDULING
- Accrued comp-off must be utilized within 30 calendar days of the date of accrual, unless an extended validity period of up to 60 days is approved by the Department Head. Comp-off not utilized within the validity period shall lapse automatically without monetary compensation.
- Comp-off requests shall be submitted at least 2 business days in advance and are subject to supervisory approval based on operational requirements. Comp-off may be taken as full days or half days but cannot be combined with other leave types to create absences exceeding 5 consecutive working days without Department Head approval.

TREATMENT ON SEPARATION
- Upon an employee's resignation or termination, any unused comp-off balance shall be either scheduled for utilization during the notice period or paid out at the employee's base daily rate, at the Organization's discretion.
- This policy shall be reviewed annually by the HR department. Violations, including working rest days without approval to accumulate comp-off or falsifying comp-off records, shall result in disciplinary action.

Everything you need to know

01What Is a Compensatory Off Policy?

A compensatory off policy, often called comp-off, lets employees take paid time off in exchange for extra hours worked, such as on a weekend, public holiday, or during a critical deadline. Instead of paying overtime cash, the company grants equivalent leave. The policy defines when comp-off is earned, how it is credited, and the window within which it must be used before it lapses.

02Why Companies Need a Compensatory Off Policy

Comp-off gives you a flexible, cost-controlled alternative to overtime pay while still recognizing extra effort. It helps prevent burnout by ensuring employees who work beyond schedule get real rest in return. A clear policy also stops informal arrangements where managers grant unofficial days off, which create fairness issues and untracked liabilities. Documenting the rules keeps comp-off balances visible, auditable, and consistent across every team in the company.

03What a Compensatory Off Policy Should Include

Specify what triggers comp-off, such as working on a rest day or a set number of extra hours, and the conversion ratio applied. State who is eligible, how employees request and log comp-off, and who approves it. Set an expiry window so leave is used promptly and does not accumulate indefinitely. Clarify whether unused comp-off is encashed or forfeited, and how it interacts with regular leave balances.
