Everything you need to know
01What Is an Employee Performance Review Policy?
An employee performance review policy sets the ground rules for how you evaluate staff contributions over a defined period. It explains who conducts reviews, how often they happen, which criteria matter, and how ratings translate into feedback, raises, or development plans. The policy turns a vague annual ritual into a predictable, documented process, so managers and employees share the same expectations before a single review conversation begins.
02Why Companies Need a Performance Review Policy
Without a written policy, reviews drift into inconsistency: some managers overrate, others avoid hard conversations, and employees never know where they stand. A clear policy protects you legally by documenting performance decisions, supports fair pay and promotion calls, and links individual goals to business outcomes. It also builds trust, because people can see the same standards apply to everyone rather than depending on which manager they report to.
03What a Performance Review Policy Should Include
Cover the review cycle (annual, biannual, or quarterly), the rating scale and its definitions, and the competencies or goals being measured. Spell out preparation steps, self-assessment expectations, the review meeting format, and how feedback is documented. Add sections on calibration across teams, how ratings connect to compensation, and an appeals or disagreement path. Finally, note record retention and confidentiality so employees know how their evaluations are stored and used.
