Fraternization (Workplace Romance) Policy Company Name: Effective Date: Policy Owner: Approved By: Reporting Threshold: PURPOSE & SCOPE - This Fraternization Policy establishes guidelines for personal and romantic relationships between employees to protect workplace professionalism, prevent conflicts of interest, and minimise the risk of favouritism or harassment claims. - This policy applies to all employees, managers, contractors, and temporary staff. It covers romantic, dating, and intimate relationships between individuals within the Organization's workforce. - The HR department shall administer this policy, receive relationship disclosures, assess potential conflicts, and implement management measures to protect the interests of all parties and the Organization. DISCLOSURE REQUIREMENTS - Employees involved in a romantic or intimate relationship with another employee must disclose the relationship to the HR department when any reporting or supervisory relationship exists, or when both parties work in the same department or on the same project. - Relationships between a manager and a direct or indirect subordinate are subject to mandatory disclosure and management intervention, regardless of whether either party believes the relationship creates a conflict. - The Organization shall treat all relationship disclosures with confidentiality, and no employee shall face adverse consequences solely for making a good-faith disclosure under this policy. PROHIBITED & RESTRICTED RELATIONSHIPS - Romantic relationships are strictly prohibited between an employee and any individual over whom they exercise direct hiring, firing, performance evaluation, or compensation authority, unless the reporting relationship is formally reassigned. - Employees in relationships covered by this policy shall not participate in any employment decision affecting the other party, including hiring, performance reviews, salary adjustments, promotions, or disciplinary actions. - The Organization reserves the right to transfer or reassign one or both parties to different departments, teams, or locations where the relationship creates an unmanageable conflict, with due regard for minimising disruption to both parties' careers. CONSENSUAL RELATIONSHIP AGREEMENTS - Where a relationship is disclosed and permitted under this policy, the Organization may require both parties to sign a consensual relationship agreement confirming the voluntary nature of the relationship and acknowledging the applicable policy provisions. - If the relationship ends, both parties are expected to maintain professional conduct. Either party may notify the HR department if post-relationship interactions become uncomfortable or disruptive. - The Organization shall not inquire into or monitor employees' private personal lives outside the workplace, except to the extent necessary to enforce this policy where a workplace conflict or compliance concern has been identified. ENFORCEMENT & POLICY REVIEW - Violations of this policy, including failure to disclose a required relationship or breach of imposed management measures, shall result in disciplinary action up to and including termination. - This policy shall be reviewed at least annually to ensure alignment with current employment law, best practices in workplace relationship management, and the Organization's culture and values. - All employees shall receive training on this policy during onboarding and annually, with additional guidance provided to managers on their heightened disclosure and management obligations.
