Everything you need to know
01What Is a Performance Improvement Plan Policy?
A performance improvement plan (PIP) policy governs how you formally address underperformance through a structured, time-bound plan. It defines when a PIP is triggered, what specific goals and support the employee receives, and how progress is measured. Rather than a surprise route to firing, a well-run PIP gives a struggling employee a clear, documented chance to meet expectations with defined checkpoints and manager involvement.
02Why Companies Need a PIP Policy
Ad hoc responses to poor performance are inconsistent and legally risky. A PIP policy standardizes the process, ensuring employees get fair notice, concrete targets, and genuine support before any dismissal decision. It creates a documented paper trail that protects you in disputes, helps managers separate coaching from formal action, and, when done sincerely, can genuinely turn around performance rather than only preparing for exit.
03What a PIP Policy Should Include
Define the triggers for starting a PIP, the typical duration (often 30, 60, or 90 days), and the required elements: specific measurable goals, the support and resources provided, and scheduled check-in dates. Clarify who approves the plan, how progress is documented, and the possible outcomes such as successful completion, extension, or termination. Include the employee's right to comment and how records are retained.
