Workplace Safety Policy Company Name: Effective Date: Policy Owner: Approved By: Safety Committee Chair: PURPOSE & SCOPE - This policy establishes the Organization's commitment to providing a safe and healthy work environment for all employees, contractors, visitors, and other persons present at Organization premises. - All employees share responsibility for workplace safety. Managers are accountable for maintaining safe conditions within their areas, and all staff must report hazards immediately. - The Organization shall allocate adequate resources to implement and maintain this policy, including dedicated safety personnel, training programs, and safety equipment. HAZARD IDENTIFICATION & RISK ASSESSMENT - The Organization shall conduct formal workplace risk assessments at least annually and whenever significant changes occur to work processes, equipment, or premises. - All employees shall report workplace hazards, unsafe conditions, and near-miss incidents through the Organization's hazard reporting system without fear of reprisal. - The safety team shall maintain a risk register documenting all identified workplace hazards, their risk ratings, control measures, and review dates. EMERGENCY PREPAREDNESS & RESPONSE - The Organization shall maintain documented emergency response plans for fire, medical emergencies, natural disasters, chemical spills, and other foreseeable emergency scenarios. - Fire evacuation drills shall be conducted at least twice per year at all Organization premises, and all employees shall be trained in emergency evacuation procedures. - Adequate first aid supplies and trained first aiders shall be available at all Organization workplaces to respond to medical emergencies during working hours. INCIDENT REPORTING & INVESTIGATION - All workplace incidents, injuries, and near-misses shall be reported within 24 hours and investigated to determine root causes and prevent recurrence. - Incident investigations shall use root cause analysis methodology and shall result in documented corrective actions with assigned owners and completion deadlines. - The Organization shall analyse incident data quarterly to identify trends, recurring hazards, and systemic issues that require organizational-level intervention. TRAINING, COMMUNICATION & POLICY REVIEW - All employees shall receive workplace safety training during onboarding and at least annually thereafter, covering hazard awareness, emergency procedures, and safe work practices. - The Safety Committee shall meet at least quarterly to review safety performance, discuss reported hazards, and recommend improvements to the safety management system. - This policy shall be reviewed annually by the safety team and updated to reflect regulatory changes, incident learnings, and evolving best practices in workplace safety.
