PURPOSE & SCOPE
- This Workplace Visitor Policy establishes the procedures for managing visitors to the Organization's premises to ensure the safety and security of employees, protect confidential information, and maintain a professional working environment.
- This policy applies to all individuals who are not regular employees or contractors of the Organization and who seek access to any Organization premises, including clients, vendors, candidates, delivery personnel, and personal guests.
- The Facilities or Security department shall be responsible for implementing and maintaining the visitor management system, and all employees are responsible for ensuring their visitors comply with the procedures set out in this policy.

VISITOR REGISTRATION & ACCESS
- All visitors must be pre-registered by their host employee at least 24 hours in advance through the Organization's visitor management system, providing the visitor's name, company, purpose of visit, and expected arrival time.
- Upon arrival, all visitors shall present valid government-issued identification, sign the visitor register, receive a visitor badge, and acknowledge the Organization's safety and security guidelines before being granted access.
- Visitors shall be escorted by their host employee or a designated representative at all times while on the premises, unless granted unescorted access to specific areas by the Security department.

SAFETY, SECURITY & CONFIDENTIALITY
- Visitors shall comply with all applicable health and safety requirements, including emergency evacuation procedures, and shall not access any area designated as restricted without explicit authorisation from the Security department.
- Visitors shall not photograph, record, or remove any documents, materials, or information from the Organization's premises without the prior written consent of the host employee's manager and the Security department.
- Visitors may be required to sign a non-disclosure agreement before accessing areas or attending meetings where confidential or proprietary information may be discussed or visible.

SPECIAL VISITOR CATEGORIES
- Regulatory inspectors, auditors, and law enforcement officials shall be granted access in accordance with applicable legal requirements, with immediate notification to the Legal department and senior management.
- Personal guests, including family members and friends of employees, may visit during designated hours and areas only, subject to the same registration and escort requirements as all other visitors.
- Delivery, maintenance, and construction personnel shall access designated areas only, shall be escorted or supervised as required, and shall comply with all applicable health and safety requirements.

ENFORCEMENT & POLICY REVIEW
- Visitors who violate this policy may be required to leave the premises immediately, and host employees who fail to comply with visitor management procedures may face disciplinary action.
- This policy shall be reviewed at least annually and updated to reflect changes in the Organization's security requirements, premises, and applicable health and safety regulations.
