Your trust matters to us. This policy describes what personal data we collect across springhire, why we collect it, who can see it, and the choices you have.
1. What this policy covers
This policy explains how springhire ("we", "us") handles personal data when you visit springhire.io, use our free HR tools, create a recruiter account, or take an assessment as a candidate.
2. Data we collect
- Account data: name, work email, password hash, company details you provide.
- Candidate data: name, contact details, resumes, and assessment responses including video, audio, and text answers, submitted when a candidate takes an assessment.
- Usage data: pages visited, features used, device and browser information, IP address, collected via cookies and similar technologies.
- Payment data: billing details processed by our payment providers. We do not store full card numbers.
3. How we use data
- To provide and operate the Service, including delivering assessments and generating reports for the hiring team that invited you.
- To score and summarize assessment answers, including with AI systems.
- To secure the Service, prevent abuse, and rate-limit automated traffic (we use Cloudflare Turnstile on signup and login).
- To improve our products and, with your consent where required, send product updates. You can unsubscribe anytime.
4. Candidates: who sees your data
If you take an assessment, your responses, scores, and reports are shared with the employer that invited you. That employer is the controller of your application data; we process it on their behalf. Contact the employer for questions about their hiring decisions, and us for questions about the platform itself.
5. AI processing
Some responses are processed by AI models (hosted on Microsoft Azure) to generate scores, transcripts, and summaries. AI output supports human review and is not used as the sole basis for automated hiring decisions by the platform.
6. Sharing
We do not sell personal data. We share it only with:
- Service providers that host and support the platform (cloud hosting, email delivery, payments, analytics), bound by data processing agreements.
- The employer that invited you, for candidate data.
- Authorities where the law requires it.
7. Retention
Account data is kept while your account is active and deleted or anonymized within 90 days of account deletion. Candidate assessment data is retained according to the inviting employer's settings and deleted when they delete it or close their account. Backup copies expire within 35 days.
8. Your rights
Depending on your location you may have rights to access, correct, delete, export, or object to the processing of your personal data. Email support@springhire.io and we will respond within 30 days. Candidates may be redirected to the inviting employer where they control the data.
9. Cookies
We use essential cookies for sign-in sessions and security, and analytics cookies (Google Analytics) to understand site usage. You can block analytics cookies in your browser without affecting core functionality.
10. Security
Data is encrypted in transit, passwords are stored hashed, sessions use secure HTTP-only cookies, and access to production data is restricted to authorized staff. No system is perfectly secure; report concerns to support@springhire.io.
11. Changes to this policy
We will post any changes on this page and, for material changes, notify account holders by email or in-product notice before they take effect.
