How to Reschedule an Interview as an Employer

When you need to move an interview, tell the candidate as early as possible, apologize briefly, give a short honest reason and offer specific new times. Offering two or three options gets a reply faster than asking 'when are you free?', and inviting them to suggest other times shows you respect their schedule. Rescheduled interviews are a common reason strong candidates lose interest, especially if it happens twice. If the same interview has already moved once, consider a call rather than an email and let the hiring manager apologize directly.

What to Do When a Candidate Asks to Reschedule

Candidates reschedule for ordinary reasons: a shift they could not swap, a sick child, a current employer's meeting. Reply quickly, offer new times and do not treat a single request as a warning sign. A pattern of repeated changes is worth noting, but one rescheduled interview says very little about how someone will work. If rescheduling happens often across your roles, the problem is usually the scheduling itself. A recorded first round lets candidates answer on their own time, so only the later live interviews need a calendar slot.

Interview Rescheduled: After the New Time Is Agreed

Send a fresh confirmation email with the new date, time, location or link and interviewer names, and cancel the old calendar invite so there is only one time in the candidate's diary. Tell everyone on your side who was attending, and send a reminder the day before as usual.

FAQ

Questions about the interview reschedule email

Contact the candidate as early as possible, apologize, give a brief reason and offer two or three specific new times. Invite them to suggest alternatives if none suit, then send a new confirmation once a time is agreed.

Once, with notice and an apology, it is normal. Repeated or last-minute changes can make candidates feel unvalued and lead them to accept other offers, so protect interview slots once they are booked.

Email is fine when you have a day or more of notice. If the change is on the same day or the interview has already moved once, call the candidate and follow up in writing.

Reply promptly with new options and treat it as a normal request. Note it only if a pattern develops. One rescheduled interview is not a reliable signal about a candidate.
