Everything you need to know about the interview confirmation email
springhire takes the first round off your plate with skills tests and a one-way video interview behind one candidate link, so you only meet the strongest applicants.
What Is an Interview Confirmation Email?
An interview confirmation email is the message you send once a candidate has accepted an interview slot. It puts every practical detail in one place: date, time with time zone, duration, location or meeting link, who they will meet and what to bring. Candidates search their inbox for this email on the day, so clarity matters more than warmth. It is different from an interview invitation, which asks the candidate to choose or accept a time. The confirmation closes that loop and reduces no-shows and late arrivals caused by missing details.
How to Write a Confirmation Mail for an Interview
Put the role and date in the subject line so the email is easy to find. List the logistics on separate lines rather than in a paragraph. Name the interviewers and their roles, which helps the candidate prepare and makes the process feel more personal. Add one line of practical help, such as testing a video link or where to park, and a phone number for problems on the day. Leave out anything that is not needed for the interview itself.
Confirming the Interview by Email: Timing and Reminders
Send the confirmation as soon as the candidate accepts the time, then a short reminder the day before. If the interview moves, send a new confirmation rather than editing the old thread, so the candidate does not turn up at the old time. For a recorded first round, the confirmation can replace scheduling entirely: send the link with a completion deadline instead of a time slot, and the candidate records when it suits them.
