Everything you need to know about the interview invitation text message
springhire takes the first round off your plate with skills tests and a one-way video interview behind one candidate link, so you only meet the strongest applicants.
When to Use an Interview Invitation Text Message
A text or WhatsApp message is the fastest way to invite a candidate to an interview, especially for hourly, retail, hospitality, warehouse and call center roles where applicants check their phones far more often than their email. Recruiters often send a short message first and follow with an email that has the full details. Only message candidates who gave you their number for that purpose, and follow local rules on contacting people by text. Keep the tone professional: a recruitment message is still a business message, even on WhatsApp.
What an Interview Calling Message Should Include
Every interview invitation message needs five things: who you are and which company, the role, the date and time, the place or meeting link, and how to confirm. Leave out anything else. If the message runs past a few lines, move the details to an email and use the text to point to it. Use the candidate's name and your own, so the message does not look like spam. Ask for a clear reply, such as YES to confirm, which makes it easy to track who is coming.
More Call for Interview Message Examples
Video interview: 'Hi [Name], it is [Your Name] from [Company]. Thanks for applying for [Job Title]. Can you join a 20 minute video interview on [Date] at [Time]? The link is [Link]. Reply YES to confirm or suggest another time.' Walk-in or open interview: 'Hi [Name], [Company] is holding open interviews for [Job Title] on [Date] between [Time] and [Time] at [Address]. Bring a photo ID. Reply YES and we will add you to the list.' Recorded first round: 'Hi [Name], thanks for applying for [Job Title] at [Company]. The first step is a short recorded interview you can complete on your phone by [Date]: [Link]. It takes about 15 minutes.'
Following Up After the Message
If the candidate does not reply within a day, send one short reminder, then try a call or an email. Once they confirm, send a confirmation with the full details and a reminder the day before. Keeping all of this in one place, rather than in a personal phone, makes it much easier for the rest of the team to pick up if the recruiter is away.
